Creating assignments

An assignment is one loss or claim — the unit of work your field users open and capture into. You create it from a published profile.

Create an assignment

  1. Open the team → AssignmentsNew assignment.
  2. Name it and add a reference (claim number / external ID).
  3. Choose a profile — its rooms/items/questions and structure are applied.
  4. Confirm the capture settings (inherited from the team; override here if needed).
  5. Create. It's ready to be worked.

NOTE

At creation, the assignment takes an immutable snapshot of the profile. Later profile edits won't alter this assignment — its schema is locked for evidentiary integrity. See versioning.

Track an assignment

The assignment detail view shows you, in real time as field users sync:

  • Status — Active, In review, Completed, Archived.
  • Rooms captured and a media count by sync state (synced vs. pending).
  • Loss information and other entity values as they're filled in.
  • People and the invited collaborators/observers.
  • The audit log for this assignment.

Change status from the assignment's menu. Status changes are recorded in the audit log and can trigger webhooks and notifications.

TIP

Before moving an assignment to In review, glance at the media counts — if a field user still has pending uploads, give them a nudge to get on Wi-Fi so nothing's stranded on a device.
