Glossary

The vocabulary of Contents Capture, in plain terms.

Org (Organization) : The top of your structure — your company.

Business Unit : A division or region within an org.

Team : Where work lives. Owns profiles, assignments, and default capture settings (e.g. "Total Loss Fire").

User : A person who signs in, identified by email or phone number.

Member : A user who belongs to a team.

Collaborator : A user invited to one assignment who can capture and edit it.

Observer : A user invited to one assignment with view-only access.

Assignment : A single loss or claim — the unit of field work. Created from a profile.

Profile : A reusable, saved schema — your definition of the rooms, items, and questions a loss type needs. Build once, reuse across assignments. See the schema builder.

Entity : A named group of fields within a profile (e.g. "Item", "Loss Information").

Field : A single typed input on an entity (e.g. "Condition", "Estimated value"). See Field types.

Room (Location) : An area within an assignment — "Kitchen", "Unit 214".

Media : A captured photo, video, or audio file.

Group : A bundle of media for the same item — multiple angles plus detail shots.

Tag : A free-form label applied across media and groups for organization.

Person : Someone tied to the claim (claimant, adjuster, witness) — recorded for documentation, not granted app access.

Capture settings : Admin-controlled toggles for timestamp, GPS, and watermark.

Sync : The background process that uploads device captures to the cloud. See Working offline & sync.

Original / Proxy : The original is the full-resolution master kept for the final report; the proxy is a lightweight copy for fast on-device preview.

Audit log : The append-only record of who did what, and when. See Audit log.

Webhook : A real-time HTTP notification to (outgoing) or from (incoming) another system. See Webhooks.
