Media sync states

Every captured photo, video, or audio clip moves through a sequence of states from the moment you capture it to the moment it's safely in the cloud. The sync screen shows these so you always know what's safe.

The states

How to read it

  • Anything Saved, Prepared, Pending, or Uploading is safe on your device — but the device holds the only copy until it reaches Synced.
  • Synced is the finish line: the file is durably in the cloud and the app may free local space.
  • Needs attention isn't data loss — the file is still on your device. Tap Retry or get on Wi-Fi; the app also retries automatically with backoff.

IMPORTANT

Before leaving a job or handing off a phone, confirm the assignment shows all Synced. Pending items live only on that device until they upload.

Originals vs. previews

Two versions of each capture exist:

  • Original — the full-resolution master, always preserved and uploaded for the final report.
  • Preview (proxy) — a lightweight copy for fast scrolling and review on the phone, kept gentle on storage and battery.

You never choose between them — the app keeps the original at full quality automatically.

NOTE

Each file is checksummed end to end. The cloud verifies the bytes arrived intact before marking an item Synced, so a corrupted upload can never silently replace your evidence.
